Confirm production requirements

Ask for final dimensions, accepted PDF standard, colour workflow, bleed, substrate, file limit, and scaling policy. Export settings depend on the destination. Record the agreement so nobody chooses fit-to-page or compression without understanding the consequence.

  • Set the intended ratio.
  • Remove hidden objects.
  • Use a clear final filename.

Export for fidelity

Choose high-quality images, preserve vectors, and embed or convert fonts reliably. Avoid routing the master through messaging apps. If software requires proportional scaling, document the intended output size for the printer.

  • Check equations and lines.
  • Keep QR codes sharp.
  • Add printer marks only if requested.

Inspect the PDF independently

Open the export outside the authoring app. Read page dimensions, scan edges for clipping, zoom into charts, test links and QR codes, and print a representative crop. Compare it with the approved source before locking delivery.

  • Verify author names.
  • Check colours.
  • Archive source and final PDF.

A practical example

Print one letter-size crop containing body text, a chart axis, photograph, and QR code at 100 percent. That sheet exposes common export failures cheaply.
